Simple systems make room for more fun
A team parent is the friendly bridge between a coach and the families. The role works best when communication is clear, family information is handled carefully, and tasks are shared instead of collected by one person.
Coaches lead baseball decisions. Team parents help organize the family details around them and point league questions to the right contact.

Use the official team and league channels for dates, requirements, and family information.
Before the season
Set the tone early.
- Introduce yourself and confirm the coach’s preferred communication channel.
- Coordinate the roster using only league-approved contact information and protect family privacy.
- Help organize the team banner after confirming the current format, deadline, and vendor guidance.
- Share the season’s known team and league dates without creating a second unofficial schedule.
- Ask the league secretary for the blank team roster template, fill it in, and email it back to secretary@santasu.com.
- Team banners are paid for by the team, so plan to collect from each family. Banners apply to Spring seasons only.
During the season
Clear beats constant.
- Send concise reminders for practices, games, arrival times, and team responsibilities.
- Coordinate snacks for younger divisions and ask families about allergy or dietary concerns before making a plan.
- Help fill the team’s scorekeeping responsibilities and direct volunteers to league training.
- Bring questions to the coach or correct league contact instead of guessing for the group.
- Shetland and Pinto keep the post-game snack tradition, so build the snack rota around those game days and check for allergies first.
- The Dugout Club sells team tickets at $20 for a book of 10, which is the easy way to handle snack duty.
- The home team records the game in both the scorebook and on the scoreboard. A scorekeeper clinic runs before the season for anyone who wants a refresher.
League moments
Help everyone arrive ready.
- Organize Picture Day details when the league publishes the current schedule and instructions.
- Share Opening Day, closing celebrations, field days, and other official league-event information.
- Coordinate any team participation, volunteer needs, or family reminders connected to those events.
- Santa Su provides a basic photo package for every player. Coordinate Picture Day with the team and hand the photos out when they arrive. Picture Day applies to Spring seasons only.
Last inning
Finish with gratitude.
- Help plan an age-appropriate end-of-season team celebration with the coach and families.
- Close out shared team tasks and confirm whether any league items need to be returned.
- Thank the coaches, scorekeepers, volunteers, and families who made the season work.
- A team party is a good way to finish. Families have used a coach's or teammate's home, a park, a bowling alley, or a restaurant.
Communication basics
Be useful, brief, and easy to trust
A few habits make team communication feel calm instead of noisy.
- Use one coach-approved team channel whenever possible.
- Put the action, date, time, and location near the top of every reminder.
- Keep roster details inside approved family channels and never publish player contact information.
- Send schedule changes only after they are confirmed by the coach or league.
- Direct sensitive player or family matters to the coach or appropriate league contact.
